Freshdesk n8n integrationAutomate Freshdesk with n8n.

Support data is only useful when it reaches the rest of your tools. The Freshdesk n8n integration moves it: 10 operations across 2 resources, tickets and contacts, behind a single API key. Freshdesk has no trigger node in n8n, so the workflow starts elsewhere and calls Freshdesk as a step.

Why automate

What does the Freshdesk n8n integration give you?

The Freshdesk node ships with n8n and talks to the Freshdesk API using an API key and your account subdomain. It covers 2 resources, Ticket and Contact, with the same core actions on each one: create, get one, get many, update, delete. That is 10 operations in total, enough to open a ticket from any channel, look up the person behind it, and push the result into whatever tool your team actually watches.

Start with intake. A message lands in a channel your customers already use, and the workflow turns it into a ticket with ticket.create instead of an agent retyping it. The community template 368 does exactly that from Telegram, adding the ticket and logging it elsewhere in the same run. Set Source to the channel it came from and the ticket carries its origin for the rest of its life.

Second pattern: reporting that nobody has to export by hand. Run ticket.getAll on a schedule, filter with Updated Since, and write the batch into Google Sheets for a weekly view of resolution times. Template 4238 uses the same operation as the base of a satisfaction survey, emailing customers after resolution and storing answers in a sheet.

Third pattern: keeping people in sync. contact.getAll with the State filter tells you who is still unverified, and contact.update writes back a tag or a company ID once another system knows more. Pair it with Gmail for a follow-up message, or post a short digest to Slack so the support lead sees the queue without opening Freshdesk.

Know the edges before you build. Freshdesk has no trigger node in n8n, which means nothing here reacts on its own: a Schedule Trigger at a fixed interval, or the n8n Webhook node (a URL another service calls) starts every Freshdesk workflow. The node also stops at tickets and contacts. For anything the Freshdesk API exposes beyond those 2 resources, use the HTTP Request node with the same credential, so you keep one place to store the key.

One more thing worth checking early: several optional fields depend on your Freshdesk plan. Language and Time Zone need the matching multi-language or multi-timezone feature (Garden plan and above), and Other Companies needs Multiple Companies (Estate plan and above). If a field is greyed out on your account, that is why. Our n8n training walks through the same build end to end.

Connect

How do you connect Freshdesk to n8n?

  1. 01

Grab your API key in Freshdesk

Freshdesk authenticates n8n with an API key, a long string that stands in for your login. It sits in your Freshdesk profile, as described in the Freshdesk API authentication documentation. Treat it like a password. Anyone holding it can read and write every ticket on your helpdesk, so copy it once into the credential and keep it out of shared documents.

  2. 02

Find your domain, and only the subdomain

The second field is Domain, and it trips up most first attempts. Freshdesk wants the subdomain alone, not the full address. If you reach your helpdesk at https://n8n.freshdesk.com, the value to enter is n8n. Look at the URL in your browser while you are logged in, take the part before .freshdesk.com, and leave out the protocol and the trailing slash.

  3. 03

Save the credential once, reuse it everywhere

In n8n, open the Credentials menu and create a Freshdesk credential with those 2 values: API Key and Domain. A credential is stored once and picked from a dropdown in every node that needs it, so you never paste the key into a workflow. The same credential also serves an HTTP Request node through its predefined authentication, which is how you reach endpoints the Freshdesk node does not cover.

Actions

What can the Freshdesk node do?

The Freshdesk node exposes 10 operations across 2 resources. For each one: the node as you configure it in n8n, the required fields, and our field notes.

Contact

5 operations
01

Create a contact

contact.create

What you see in n8n

Notes & use cases

Adds a person to your Freshdesk contact list and returns the created record with its ID, ready for the next node.

Key parameters

  • Name: the only required field, the display name of the contact, often {{ $json.name }} from a form or CRM step.
  • Email: the primary address. Extra addresses belong in Other Emails instead of this field.
  • Additional Fields: 17 optional attributes, including Phone, Company ID, Tags and Unique External ID, useful to carry the identifier your own database already uses.
Use cases
a new signup fills a form, the workflow creates the matching contact before the first ticket ever arrives.
02

Delete a contact

contact.delete

What you see in n8n

Notes & use cases

When someone asks to be removed from your helpdesk records, this operation deletes their contact in Freshdesk.

Key parameters

  • Contact ID: the Freshdesk identifier of the person to remove, not their name or email. Pull it from a previous Get many contacts step with an expression such as {{ $json.id }}, which reads a field from the incoming item.
Use cases
a deletion request arrives, the workflow finds the contact by email, then removes it and logs the date in your compliance sheet.
03

Get a contact

contact.get

What you see in n8n

Notes & use cases

Fetches one contact and returns the full record, so later nodes can read the fields instead of guessing them.

Key parameters

  • Contact ID: the identifier of the contact to read. A required field blocks the node when it is empty, so make sure the previous step really produced an ID.
Use cases
a ticket comes in with a requester ID, and the workflow reads the contact to get the company and phone number before routing the ticket to the right agent.
04

Get many contacts

contact.getAll

What you see in n8n

Notes & use cases

Lists contacts in bulk, with filters that narrow the batch before it reaches the rest of the workflow.

Key parameters

  • Filters: 6 optional criteria, Company ID, Email, Mobile, Phone, State and Updated Since.
  • State: one of verified, unverified, blocked or deleted, the fastest way to isolate accounts that never confirmed their address.
  • Updated Since: a date that keeps a scheduled run from reprocessing the whole list every time.
Use cases
a nightly sync collects contacts changed since yesterday and updates the same people in your marketing tool.
05

Update a contact

contact.update

What you see in n8n

Notes & use cases

People change jobs, numbers and companies. This operation writes those changes onto an existing Freshdesk contact without creating a duplicate.

Key parameters

  • Contact ID: the record to modify, typically carried over from an earlier lookup.
  • Additional Fields: the same 17 attributes as on creation. Only what you fill gets written, so a run can set Job Title alone and leave the rest untouched.
  • View All Tickets: lets the contact see every ticket from their company, handy for a named account manager.
Use cases
your CRM marks a customer as churned, and the tag lands on the Freshdesk contact so agents see it on the next ticket.

Ticket

5 operations
06

Create a ticket

ticket.create

What you see in n8n

Notes & use cases

Opens a ticket in Freshdesk from whatever the workflow just received, and returns the created ticket for the rest of the run.

Key parameters

  • Requester Identification and Value: how Freshdesk recognizes the person, by email, phone, requesterId, twitterId, facebookId or uniqueExternalId. With an unknown email, Freshdesk creates the contact for you.
  • Status, Priority, Source: all three are required. Source records the channel, from chat to portal.
  • Options: 13 extras, among them Subject, Description in HTML, Due By and Agent Name or ID.
Use cases
an outage alert becomes an urgent ticket assigned to the on-call group.
07

Delete a ticket

ticket.delete

What you see in n8n

Notes & use cases

Some tickets should never have reached the queue. Spam, a duplicate from a retried workflow, a test run left behind. This removes one of them.

Key parameters

  • Ticket ID: the identifier of the ticket to delete. Feed it from the ticket you just created, {{ $json.id }}, when a branch decides the ticket was a mistake.
Use cases
a test campaign generated a handful of fake tickets, and a cleanup workflow deletes them by ID instead of an agent clicking through the list.
08

Get a ticket

ticket.get

What you see in n8n

Notes & use cases

Reads one ticket and hands back its current state. That is what you need before a workflow decides anything about it, because the status may have moved since the ticket was created.

Key parameters

  • Ticket ID: the ticket to read. Store it when you create a ticket, then reuse it later in the same workflow or in a follow-up one.
Use cases
a reminder workflow checks, 3 days after creation, whether the ticket is still open before it pings the assigned agent.
09

Get many tickets

ticket.getAll

What you see in n8n

Notes & use cases

Pulls a batch of tickets out of Freshdesk, which is the starting point of every report and every survey built on this node.

Key parameters

  • Return All: enabled, n8n walks the API pages and brings back every matching ticket; disabled, Limit caps how many come through.
  • Options: 7 refinements, including Updated Since, Requester Email, Order By and Include to attach requester, company, description or stats to each ticket.
Use cases
a weekly export of tickets ordered by createdAt feeds the spreadsheet your team reviews on Monday.
10

Update a ticket

ticket.update

What you see in n8n

Notes & use cases

Most support automation ends here: the ticket exists, and something about it has to change without an agent opening it.

Key parameters

  • Ticket ID: the ticket to modify, the only required value.
  • Update Fields: 16 attributes, including Status, Priority, Agent Name or ID, Group Name or ID, Tags and Type (Incident, Problem, Question, Feature Request, Refund).
  • Due By and FR Due By: the resolution deadline and the first response deadline, if your process recalculates them.
Use cases
a customer replies in another tool, and the workflow reopens the ticket by setting Status to open.

FAQ

Freshdesk and n8n: common questions

01Is the Freshdesk n8n integration free?
Yes on the n8n side. The Freshdesk node ships with n8n, so there is nothing to install and nothing extra to pay, whether you run n8n Cloud or a self-hosted instance under the Community Edition and its Sustainable Use license. A workflow behaves the same in both. What you pay for Freshdesk itself depends on your own plan, and a few node fields follow it: the Language and Time Zone attributes on a contact need the multi-language or multi-timezone feature (Garden plan and above), and Other Companies needs Multiple Companies (Estate plan and above).
02What credentials do you need to connect Freshdesk to n8n?
One API key credential, with 2 values. The API Key is generated from your Freshdesk account, following the Freshdesk API authentication documentation, and it carries the same rights as the user it belongs to. The Domain is your Freshdesk subdomain only: for a helpdesk reachable at https://acme.freshdesk.com, the value is acme. You create the credential once in the n8n Credentials menu, then pick it from a dropdown in every Freshdesk node. The same credential also authenticates an HTTP Request node through its predefined authentication.
03What are the limits of the Freshdesk node in n8n?
The node covers 2 resources, Ticket and Contact, and 10 operations, four verbs on each resource plus the two bulk reads. Anything else the Freshdesk API offers is not in the node. The workaround is the HTTP Request node, which calls any Freshdesk endpoint while reusing the same credential, so the key stays in one place. On bulk reads, watch pagination: Get many tickets returns everything only when Return All is enabled, otherwise Limit caps the batch and a report silently misses rows.
04Can Freshdesk trigger an n8n workflow in real time?
Not from the Freshdesk node itself, because there is no Freshdesk trigger in n8n. A workflow that touches Freshdesk has to start with something else. Three options cover almost every case: a Schedule Trigger that runs at a fixed interval and reads tickets with Get many tickets plus the Updated Since option, the n8n Webhook node, which is a URL that another service calls when an event happens on its side, or the trigger of another tool in your stack, such as a chat app whose messages you turn into tickets.
05n8n or Make for Freshdesk?
It depends on four criteria, and neither tool wins on all of them. Hosting: n8n runs on your own server or on n8n Cloud, Make is hosted only. Data control: self-hosting keeps ticket content and contact details on infrastructure you own, which matters when support messages carry personal data. Cost model: Make bills per operation, so a loop over a long ticket list is a budget line, while a self-hosted n8n is billed by the server. Visual logic: both draw the flow on a canvas, and the choice comes down to habit.
