What is the best sports club management software in 2026?
Good club software gives volunteers their evenings back. Registrations come in, dues get paid, and the roster is finally right.
You run a youth soccer club, a community swim team or a local rugby section, and you do it for free. Every season starts the same way: paper forms, Venmo requests nobody can reconcile, a spreadsheet of who paid, and a group chat where half the parents never see the schedule. Club management software puts registration, payments, the member database and team communication in one place.
The short answer. Jersey Watch is the best pick for most US youth clubs: one flat $348 a year for the website and online registration, with setup done for you. Spond is free to use and only charges a fee on payments you collect through it. TidyHQ is the strongest on membership admin, with a free Starter plan. Pitchero suits UK grassroots clubs that want a website, an app and lottery fundraising together. SportMember has a free Basic plan and a Pro plan with a $25 monthly floor.
What other roundups skip: the subscription is only part of the bill. On 100 registrations at $150, a 3.5% + $1 processing fee costs $625 over the season if the club absorbs it. That is more than most subscriptions. We ran the numbers for every tool.
The ranking is editorial: a sponsored placement is always labeled on its card, and no affiliate link changes a score.

The 5 sports club management tools compared
The ranking targets a volunteer-run amateur club with 30 to 500 members: youth leagues, community clubs, school-age programs. Every ranked tool shows a public price on its official page. Gym and fitness studio software (memberships, door access, class booking) is a different job, and vendors who only quote on request sit outside the ranking.

How we compared and scored
This page is for the volunteers who keep an amateur club alive: the registrar, the treasurer, the club secretary, the coach who also does the admin. It does not cover commercial gyms, which sell memberships and manage door access. That is a separate need, and we cover it on its own page.
The first filter is public pricing. A vendor that only answers with a demo request cannot be compared fairly, so it stays outside the ranking. The second filter is payments. Most clubs collect the bulk of their budget in a few weeks before the season, and the processing fee on every registration can outweigh the subscription.
The weighting follows what costs a volunteer board time or money. Dues and payments count for 25% (online registration, installments, processing fees, reminders). Members and registration count for 20% (database, families, age groups, waivers, exports). Team organization counts for 20% (schedules, availability, attendance, mobile app). Real cost counts for 20%, worked out over one season for 100 members. Ease of use and support count for 15%.
We then read user feedback, starting with the negative reviews. Spond users praise how fast parents adopt the app, but its support scores lower than the product, and its own help center admits there is no club-wide view of unpaid requests. Jersey Watch publishes its fee math openly, which few competitors do. TidyHQ is strong on admin, but its free plan caps outbound email at 100 a month.

Jersey Watch
Jersey Watch sells one thing and prices it in one line. After a $19 first month, the plan costs $348 a year, about $29 a month. That covers the website builder, online registration, communication tools, schedules and standings, and background checks. There is no setup fee and no contract, and you can cancel before renewal.
The real selling point is the setup. Jersey Watch includes custom design help and migrates the content from your old site at no extra charge, usually within one business day. A custom domain is included, or you can bring your own. For a board of volunteers, that saves the weekend nobody wants to spend.
Online registration carries a 3.5% + $1 processing fee per transaction. Jersey Watch shows the math on its own pricing page: 120 athletes at $100 each net $11,460 if the club absorbs fees, or $12,000 if families pay $104.50. Passing the fee on is a setting, not a negotiation.
Its limit: the processing fee is on the high side compared with TidyHQ Pro, and there is a single plan, so you cannot buy a cheaper registration-only option. It is built around US youth sports, so a club outside the US will find better local fits.
Tip: start the $19 launch month about six weeks before registration opens. Use it to migrate your site and test a registration form with two or three board families before the public launch.
- One flat $348 yearly plan
- Site migration included
- Background checks built in
- ✓Setup and design help included
- ✓No contract, no setup fee
- ✓Transparent fee calculator on the pricing page
- ✗3.5% + $1 per registration
- ✗Single plan, no cheaper tier
- ✗Built for the US market
The easiest way for a US club to get a real website and online registration. Pass the processing fee to families and the cost stays at $348 a year.
Spond
Spond, a Norwegian company, does not charge a subscription. The app and the Spond Club admin tool are free. You set up groups, events and availability requests, track attendance and message parents without paying anything. For coaches, it is the quickest app on this list to get running.
Spond makes its money on payments. A US club pays 3.29% + $1.00 per payment collected through Spond Club; a UK club pays 2.5% + £0.20. By default the club absorbs the fee and receives the amount minus fees, but you can add it to the member's price instead. On 100 registrations at $150, that comes to about $594 in a season if the club absorbs it.
Installment plans go up to 12 payments, but members need a Spond profile to use them. Spond's own help center also flags two gaps: there is no club-wide view of unpaid requests (you check each payment request one by one), and members added to a request after the first payment are charged full price, so sibling discounts need a manual fix.
Its limit: in user reviews, support scores noticeably lower than the product, and the required fields on the registration form cannot be edited. The member database is simpler than TidyHQ's.
Tip: keep Spond for team life and collect big registration fees elsewhere, or switch on the option that adds the fee to the member's price. You keep a free app without losing 3% of your budget.
- Free app and admin tool
- Installments up to 12 payments
- Fees can be passed to members
- ✓No subscription
- ✓Very simple availability and attendance
- ✓Parents adopt it fast
- ✗Fee on every payment collected
- ✗No club-wide unpaid view
- ✗Support rated average by users
Hard to beat for running teams on zero budget. Once all your dues flow through it, do the math: the fees can exceed a paid plan.
TidyHQ
TidyHQ, from Australia, is built for organizations that run on memberships. Even the free Starter plan includes unlimited contacts and unlimited membership levels. It handles renewals, events and payments, with committee roles and per-app permissions on Pro.
Pro costs $69 a month or $690 a year, about 17% less on the annual plan. Prices are charged in your own currency. The difference between the plans shows up on payments. TidyHQ takes a service fee of 3% + $0.20 per transaction on Starter, and 1% + $0.20 on Pro, on top of Stripe's own processing fee. On 300 registrations at $150, Pro saves $900 in TidyHQ fees compared with Starter, more than the $690 subscription.
Pro also lifts the email cap from 100 to 30,000 a month, adds a custom email domain and digital membership cards, and keeps the activity feed with no time limit (Starter keeps 30 days).
Its limit: team-level tools are thin. There are no line-ups, game sheets or player stats, so team sports clubs often pair it with a team app. Stripe fees come on top, so your real payment cost is higher than TidyHQ's own fee.
Tip: if you collect more than about $35,000 a year in dues, Pro pays for itself on fees alone. Below that, Starter plus a team app is the cheaper setup.
- Unlimited contacts even on Starter
- Committee roles and permissions
- Digital membership cards on Pro
- ✓Strongest member records in this ranking
- ✓Lower service fee on Pro
- ✓No setup fee, no lock-in
- ✗Weak on team scheduling
- ✗Stripe fees on top
- ✗Starter capped at 100 emails a month
The right pick when memberships, not matches, drive your club. For team sports, add a scheduling app next to it.
Pitchero
Pitchero is a familiar name in UK grassroots sport. The free plan covers one team, with a responsive website and an iOS and Android app, membership, team management, fundraising, competitions, ticketing and a lottery. Hosting and updates are included. The catch: third-party ads appear on free sites, and online payments are not available.
Standard costs £38 a month and Pro £99 a month. Standard limits ads, Pro removes them. Payment processing starts at 2.42% + 17p on Standard and drops to 1.67% + 15p on Pro. The pricing page has a currency selector, but the amounts we could read are in pounds.
The lottery is the feature that sets it apart. Many UK clubs run a weekly draw to fund kit and pitch hire, and Pitchero builds it into the same platform as the website and memberships.
Its limit: £456 a year for Standard is more than Jersey Watch or SportMember for a similar club, before processing fees. It makes the most sense for clubs that will actually use the website, the app and the fundraising tools together.
Tip: start on the free plan with your first team to test the app with players, then move to Standard only when you need online payments across several teams.
- Lottery fundraising built in
- Website and app on every plan
- Free for one team
- ✓All-in-one for UK clubs
- ✓Lower fees on Pro
- ✓No-code setup and hosting included
- ✗Ads on the free plan
- ✗No online payments on free
- ✗Standard is pricier than rivals
A strong fit for UK multi-team clubs that fundraise. For a single team, the free plan is enough to start.
SportMember
SportMember, a Danish company active across Europe, offers a free Basic plan. It covers the full club calendar, central communication, booking of facilities and equipment, and mandatory acceptance of club terms by members. Few free tools handle pitch and court booking.
Pro costs $0.21 per member per month with a minimum of $25 a month, excluding VAT. Up to 119 members, you pay the floor: $300 a year. At 300 members, it comes to $63 a month, or $756 a year. A full club website costs $35 a month extra and widgets $10 a month.
The pricing page calls Pro the full-functionality plan but does not list clearly what it adds over Basic. Ask for the exact list before you pay.
Its limit: it is less known in the US, with few English-language reviews, and it lacks the US youth-sports extras (background checks, for example) that Jersey Watch includes.
Tip: run Basic with one section for a season. If parents use it, roll it out club-wide and move to Pro only for the features you actually need.
- Free Basic plan
- Facility and equipment booking
- Club terms accepted online
- ✓Free with no time limit
- ✓Simple per-member Pro price
- ✓Booking included
- ✗Pro features poorly listed
- ✗Few US reviews
- ✗Website is a paid add-on
A solid free option if you juggle pitch and court slots. For US youth sports admin, Jersey Watch stays ahead.
What club software really costs over a season
Vendors charge a flat fee, per member, or per transaction, and some combine them. Here is the season cost at official prices for a club collecting $150 registrations online, with the club absorbing processing fees.
For 100 members
SportMember Pro: $300 (the $25 monthly floor). Jersey Watch: $348 plus $625 in processing, or $348 if families pay the fee. Spond: $0 subscription and about $594 in fees. TidyHQ Starter: $0 plus $470 in service fees, Stripe on top. TidyHQ Pro: $690 plus $170, Stripe on top. Pitchero Standard: £456 a year before processing.
For 300 members
SportMember Pro: $756. TidyHQ Pro: $690 plus $510 in service fees, Stripe on top. Spond: about $1,781 in fees. Jersey Watch: $348 plus $1,875 in processing if absorbed. At this size, passing fees to families matters more than the subscription you pick.
The hidden cost: processing
On a $150 registration, Jersey Watch's 3.5% + $1 costs $6.25. Spond's US rate of 3.29% + $1 costs about $5.94. TidyHQ Pro's service fee is $1.70, plus Stripe. Every tool on this list lets you pass the fee to families or absorb it, so decide before registration opens.
- Is the price flat, per member, or per transaction?
- Who pays the processing fee, the club or the family?
- Are installment plans supported, and at what cost?
- Does the plan renew automatically each year?
- Can you export your member data if you switch?
- Are background checks or waivers included or extra?
Other tools worth knowing
These names come up a lot in club searches. They are not ranked because club pricing is on quote, or because they cover only part of the job.
Other tools
TeamSnap: the big name, club pricing on quote
TeamsTeamSnap is the name most US parents know. A single team can start at $0, but the clubs and leagues offer uses custom pricing with a demo request, so we cannot compare it on cost. If your club already runs on it and families like it, ask for a written quote before you switch.
- Price
- $0 to start for teams, clubs on quote
- Best for
- Clubs already on TeamSnap
Heja: a free team app with ads
FreeHeja's free plan covers schedules, RSVPs, team messaging and document sharing, with ads and one admin. Team Pro starts at $8.33 and adds desktop access, payment tracking, attendance stats and unlimited admins. Club plans are on quote.
- Price
- Free, Team Pro from $8.33
- Best for
- A single team
SportEasy: the European team app
TeamsSportEasy, a French company, is strong on line-ups, match sheets and player stats. A team stays free up to 30 members, and Premium costs €69 a year. Clubs pay per member, from €3.96 per member per year on the annual Classic plan. Prices are in euros, so it fits European clubs better than US ones.
- Price
- Free up to 30, Premium €69 a year
- Best for

Traps
Switching during registration season
TimingRegistration weeks pack in forms, payments and team placement. Switching then means training dozens of parents mid-rush. Move six to eight weeks earlier, build the form in the new tool, and open it with the new season.
- Best moment
- 6 to 8 weeks before registration
Forgetting who pays the fee
CostBy default, Spond deducts its fee from what the club receives. Jersey Watch and TidyHQ also let you choose. If nobody makes the call, the club quietly loses around 4% of its dues. Set it once, and say so on the registration page.
- Typical loss
- Around 4% of dues
Sibling discounts that break
FamiliesFamily discounts are where club tools stumble. Spond's help center notes that members added to a payment request after the first payment are charged full price. Test a two-child family registration before you go live.
- Test
- One family, two children
Get more from your club software without paying more
Simple settings that work whichever tool you choose.
Tips
Split team app and payments
SavingsNothing forces you to collect dues in the app that sends the schedule. A club can keep Spond free for teams and collect registrations through a tool with lower fees. On 300 registrations at $150, Spond's fees alone reach about $1,781.
- At stake
- About $1,781 on 300 payments
Pay TidyHQ yearly
PriceTidyHQ Pro costs $690 a year instead of $828 on monthly billing, a $138 saving. Annual plans get a 7-day refund window, so confirm the fit during your first week.
- Saving
- $138 a year
Pilot with one team
ChoiceRun the new tool with one motivated team for two weeks, with a real game and a real availability request. If parents answer in the app without being chased, it will work club-wide.
- Length
- Two weeks, one team

Your questions about sports club software
Is there free sports club management software?
Yes. Spond, TidyHQ Starter, SportMember Basic and Pitchero's single-team plan are free. Spond and TidyHQ still charge a fee on payments, and Pitchero's free plan shows ads and has no online payments.
What is the difference between club software and gym software?
Club software manages members, teams, schedules and dues for a volunteer-run club. Gym software sells memberships, controls door access and books classes for a business. They solve different problems.
Can parents pay registration in installments?
With some tools. Spond supports up to 12 installments, but each member needs a Spond profile. Check whether installments add a fee per payment, since a per-transaction fee charged six times adds up.
Should the club or the family pay the processing fee?
Most clubs pass it on and say so clearly on the form. On a $150 registration, the fee is around $6 at Jersey Watch or Spond. Absorbing it on 300 players costs close to $1,800.
Can club software replace the parents' group chat?
For logistics, yes. Spond or Heja send the schedule, chase people who have not answered and count who is coming. Keep the group chat for banter, not for game-day details.
How long does it take to set up club software?
Plan an evening to build the club and teams, then one to two weeks for parents to install the app. Jersey Watch migrates your old website for you, usually within one business day.
Does club software handle background checks?
Jersey Watch includes background checks in its plan. Most other tools in this ranking do not, so you would run them through a separate provider and keep the records outside the club app.
Do I still need a club website?
Often, yes, for new families searching before the season. Jersey Watch and Pitchero include one. SportMember charges $35 a month for its full website add-on.
