What is the best hotel property management system in 2026?
Seven hotel PMS compared by property size: the real monthly cost, what's included and what's extra.
The short answer depends on your room count. Under 15 rooms, start with Sirvoy: free for one room, €41 a month on Pro with a channel manager. For a North American independent that wants to budget without a sales call, WebRezPro prints its price: $10 per unit, $100 minimum. Between 15 and 60 rooms, RoomRaccoon bundles everything from €130 a month billed yearly and Cloudbeds has the most praised channel manager. From 50 rooms up, Mews is the most complete, on quote.
A hotel property management system (PMS) is the core software of your property: room calendar, reservations, check-in, folios and housekeeping. The best hotel PMS isn't the one with the longest feature list. It's the one whose real cost you know upfront: subscription, minimum fee, channel manager, booking engine and card processing. We compared what each vendor publishes, then read hotelier reviews, starting with the bad ones.

How we compared and scored
We started from an owner's question: what will I pay each month, all in, and what will be missing the day I connect Booking.com? For each tool we read the official pricing page and logged what's included: channel manager, booking engine, payments, POS. Then we read hotelier reviews, worst first. That's where card fees, post-sale support and broken migrations show up.
Real cost and all-in-one weigh the most (25% each), because those are where owners get burned. A vendor with no public price keeps a low cost score: you can't compare without a quote. Little Hotelier stayed off the ranking because its official page couldn't be read. Oracle OPERA Cloud, Protel and Hotelogix target chains and large hotels, outside the scope of this page. North American names such as roommaster, Stayntouch and innRoad also show up on US shortlists; we kept to tools whose official pricing logic we could read.
The order follows the hotel size each tool targets, from smallest to largest. The score measures the tool on its criteria: a tool lower in the list can score higher for its own size band.
- Real costSubscription, add-ons, monthly minimums and payment fees over a year.25%
- Fit for sizeWhat the tool actually gives a property of your size, not too little, not too much.20%

Sirvoy
Sirvoy is the cheapest way into a real hotel PMS on this list, and the only one with a genuine free plan. Free covers one room plus five extras, and still gives you a website, a booking engine and automated guest emails. If you run a two-room B&B off a paper diary, you can get online without signing anything.
Sirvoy is Swedish and lists prices in euros, with USD and GBP billing available. Starter begins at €11 a month and adds invoicing, basic bookkeeping, SMS and 24/7 support. Pro begins at €41 a month and unlocks the piece that matters once you sell on OTAs (online travel agencies): the channel manager, which keeps your availability in sync across Booking.com, Expedia, Airbnb, Agoda and Hostelworld. Pro also adds staff accounts and guest history.
Read the pricing page carefully. Those figures are entry prices: a slider raises the price with every room you add. Annual billing takes 8% off, and the booking engine stays commission-free on every plan.
Sirvoy is deliberately simple. There's no revenue management, no restaurant POS, and the channel manager is locked to Pro. Our advice: build your site and booking engine on the free plan, then switch to Pro right before you connect your OTAs, with the slider set to your exact room count.
- Free plan for one room, website and booking engine included
- Channel manager for Booking.com, Expedia, Airbnb on Pro
- Commission-free booking engine
- 8% off with annual billing
- ✓Public pricing, no-card trial
- ✓Fast to learn for a first PMS
- ✓24/7 support from Starter
- ✗Channel manager only on Pro
- ✗Prices listed in euros first
- ✗Cost climbs with every room added
eviivo
eviivo targets the same owner as Sirvoy but bundles more from day one. Single Property starts at $50 and includes the PMS, a channel manager covering OTAs and GDS (the systems travel agents book through), a booking engine and/or website, a mobile app, open APIs and unlimited users. You don't have to upgrade to get your rooms on Booking.com.
Pricing scales with properties and rooms, with a $50 floor. Add-ons are charged per room: Payment Manager at $1, Performance Manager at $2, and $3 each for the Guest, Promo and Owner modules. Do the math before you tick boxes: on 12 rooms, Payment Manager plus Performance Manager adds $36 to your base.
One line surprises people. eviivo takes no commission, but charges $0.50 per confirmed booking if you use the optional messaging or payment tools. Multi-Property starts at $125 with a 30-day trial, which suits an owner running several small inns.
Watch out: your final bill depends on add-ons, and prices are quoted excluding tax. Ask for a written quote with every module you plan to switch on.
- Channel manager and booking engine on the entry plan
- Unlimited users
- Open APIs at no extra cost
- 30-day trial for multi-property
- ✓Everything essential in the first plan
- ✓No booking commission
- ✓Built for owners with several small properties
- ✗Per-room add-ons stack up
- ✗$0.50 per booking with messaging or payments
- ✗Final price needs a quote
WebRezPro
WebRezPro, built in Canada, is the rare PMS that prints a full price grid. You pay $10 per unit per month, with tiered minimums: $100 a month for 1 to 14 units, $150 for 15 to 24, $250 for 25 to 49, $500 for 50 to 74, $750 for 75 to 99 and $1,000 for 100 to 149.
Check your band first. A 9-room inn pays the $100 floor, which works out above $11 per room. A 24-room motel sits in the 15-to-24 band ($150 minimum), but at $10 a unit it pays $240: the minimum only matters for the smallest properties in each band.
What's included: a booking engine with no booking fees, unlimited users and no setup fee. The contract is annual but you can cancel with 30 days' notice, which is friendlier than most multi-year PMS deals.
One gap: the pricing page we read doesn't list a channel manager, so ask whether OTA connectivity is included or extra. And the interface is built for front-desk staff more than for guest self-service: no kiosks or digital keys on the page.
- Full price grid by unit count
- Booking engine with no booking fees
- Unlimited users, no setup fee
- Cancel with 30 days' notice
- ✓You can budget without a sales call
- ✓Predictable cost as you grow
- ✓Fair exit terms
- ✗Minimum fee weighs on very small properties
- ✗Channel manager not on the pricing page
- ✗Less guest self-service than Mews
RoomRaccoon
RoomRaccoon, a Dutch company, bundles the PMS, channel manager, booking engine and payments into every plan. Its listed plans are in euros, billed yearly: Entry at €130 a month (€156 billed monthly), Essential at €167 (€201), Premium at €246 (€295) and Pro at €345 (€414). The booking engine is commission-free on all plans; transaction fees come on top.
What separates the plans is mostly channels and pricing rules. Entry caps you at 3 channels and 7 pricing rules, Essential lifts that to 5 channels, Premium goes unlimited with 25 rules, and Pro reaches 75 rules. Count carefully: Booking.com, Expedia and Airbnb are already three.
Support comes with a response target of 8 business hours on Entry and Essential, and 4 hours on Pro. The CardMachine payment terminal can be rented or bought depending on the plan.
Hotelier reviews tell the rest of the story. One migration story describes every transferred booking needing manual correction. Others complain about direct debits after canceling, and the lowest sub-scores are for support and value for money. Read the cancellation terms before you sign, and ask for a trial import of your future bookings.
- Commission-free booking engine and payments on all plans
- 4-hour support target on Pro
- Automated pricing rules from Entry
- Lower price on yearly billing
- ✓Every plan price is listed
- ✓One tool for the hotel and its payments
- ✓Pricing rules included
- ✗Only 3 channels on Entry
- ✗Migrations needing manual fixes, per hoteliers
- ✗Cancellation and billing complaints
Cloudbeds
Cloudbeds is the PMS hoteliers under 50 rooms recommend most. It publishes no prices: every plan is quoted. Flex combines the PMS, payments and a marketplace of 400+ partners, but you bring your own channel manager and booking engine. One adds the channel manager and booking engine. Experience adds guest experience and reputation tools. Enterprise is negotiated.
Every plan includes multi-property management, the mobile app, reports, housekeeping and group bookings. The booking engine and channel manager add no commission on direct bookings. Revenue management, CRM and websites are add-ons without a listed price.
Hoteliers like the OTA sync most: it saves them time reconciling reservations. The complaints are about support follow-through on complex issues, a high price point for what you get, and persistent upselling after signing.
If you already run a channel manager you trust, quote Flex and One side by side. Flex can stop you from paying twice for the same feature.
- Channel manager and booking engine with no added commission (One)
- 400+ connected partners
- Multi-property on every plan
- Housekeeping and groups included
- ✓OTA sync praised by owners
- ✓Single interface for front desk and sales
- ✓Flex if you keep your channel manager
- ✗No public pricing
- ✗Support criticized on complex cases
- ✗Add-ons pushed after signing
Mews
Mews is the most complete PMS here, and the one hoteliers with 50 to 499 rooms recommend most. Pricing is per room and starts with a 30-minute call with sales. There are three plans: Core for simpler properties, Pro (the most popular) and Enterprise for multi-brand groups.
Pro packs what an automated hotel needs: PMS, revenue management, channel manager, AI-assisted guest messaging, check-in kiosks, digital keys, payments, a booking engine with group handling, BI dashboards and housekeeping. Payment fees are billed separately, and POS and bookable services (parking, meeting rooms) are add-ons.
What owners say: real time savings at the front desk, but card fees higher than expected and a payment processor that draws frequent complaints. A family-run German hotel of about twenty rooms describes an accounting export module at roughly €1,600 a year that nobody mentioned upfront, plus constantly changing contacts.
Who it's not for: under 20 rooms, or with lots of corporate billing, you pay for automation you won't use. Get payment fees and accounting exports priced in the first quote.
- Kiosks and digital keys on Pro
- Built-in revenue management
- Group-ready booking engine
- Housekeeping and automations on Pro
- ✓Most complete platform for an automated hotel
- ✓One platform across several brands
- ✓Front-desk time savings
- ✗No public pricing
- ✗Card fees higher than expected, per owners
- ✗Overkill for small family hotels
Apaleo
Apaleo, from Germany, does the opposite of Mews: an open PMS you plug your own tools into. Its price is public: €8 per room per month, with a €400 monthly minimum. That floor tells you who it's for. Below 50 rooms, you pay €400 no matter what.
Included: APIs at no extra cost, no setup, license, maintenance or integration fees, and 24/7 technical support. Apaleo Pay starts at 0.6% per transaction. More than 200 apps plug in from the Apaleo Store, though their prices aren't listed there.
Know this before you sign: neither a channel manager nor a booking engine ships natively. You pick both in the Store and pay for them separately. For a 60-room hotel, the PMS alone runs €480 a month before those two pieces.
The flip side: without someone to choose and wire the apps, it's more work than an all-in-one. For a group that wants to own its data and swap booking engines without switching PMS, it's the most flexible option.
- Public per-room pricing
- APIs included
- No setup or license fees
- 200+ apps in the Apaleo Store
- ✓Clear, predictable pricing
- ✓Freedom to pick every component
- ✓24/7 technical support
- ✗€400 monthly minimum
- ✗Channel manager and booking engine sold separately
- ✗Needs technical skills in-house
What a hotel PMS really costs you
Most PMS roundups skip pricing because the big names don't publish it. But the sticker is only part of the bill. Here's where owners get surprised, and what to ask before you sign.
Per room or per unit
Most cloud PMS bill per room per month: $10 per unit at WebRezPro, €8 per room at Apaleo, a per-room quote at Mews. Multiply by your room count, not by the occupied rooms.
The monthly minimum
Minimums hurt small properties. WebRezPro's $100 floor covers up to 14 units; Apaleo's €400 floor means anything under 50 rooms pays the same. Check which band you land in.
Card processing
Integrated payments often lock you into the vendor's processor. Owners on Mews and RoomRaccoon report higher fees than expected. Get the per-card rate in writing, next to the subscription.
Channel manager included or not
eviivo and RoomRaccoon include it. Sirvoy keeps it for Pro, Cloudbeds for One and above, and Apaleo sells it through its Store. It's the single biggest gap between two quotes.
Add-ons per room
eviivo charges $1 to $3 per room per module. On 10 rooms, the Payment and Performance modules alone add $30 to the $50 base.
Exit terms
WebRezPro lets you cancel an annual contract with 30 days' notice. RoomRaccoon owners report direct debits after canceling. Ask how to leave before you ask how to start.
- Ask for the price at your exact room count, not a starting price
- Get the card processing rate written into the quote
- Count your OTA channels before picking a plan
- Ask whether the accounting export is included
- Read the cancellation clause and notice period
Switch hotel PMS without losing a booking
A PMS switch rarely fails because of the new software. It fails on the data nobody exported and on OTAs reconnected too early. These are the six steps owners and vendors flag most.
The steps
Export 12 months of bookings and your guest database
FirstPull the last 12 months of reservations and every future booking as CSV or Excel. Don't forget the guest profiles: it's the most forgotten export, and the hardest to recover once the old contract ends.
- Window
- 12 months + future stays
- Format
- CSV or Excel
Archive folios and reports as PDF
Report history often doesn't survive a switch, so you lose year-over-year occupancy comparisons. Archive folios too: a dispute over a stay that straddles the cutover always lands months later.
- Keep
- Folios, reports, night audits
Run a sample import first
Most skippedAsk the vendor to import about twenty future bookings first, then check each one. One owner reports that every one of 100+ transferred bookings needed manual correction. Better to find out on twenty.
- Sample
- About twenty bookings
Carry over deposits and balances
Deposits already collected and unpaid folios have to follow. Get the vendor to write into the quote how they'll be migrated and who checks them before go-live.
- Check
- Deposits, balances, credits
Reconnect OTAs last
Reconnect Booking.com, Expedia and Airbnb only once the import is verified. Otherwise a badly migrated booking can reopen a sold room, and you find the overbooking when the guest walks in.
- Risk
- Overbooking
Close the old contract cleanly
Keep the old system read-only for a few weeks while the first arrivals come through. Then cancel in writing and watch your bank account: some owners report charges after their contract ended.
- Habit
- Revoke the direct debit

Your PMS runs the rooms. For the restaurant, the shop or the books, here are our other rankings.
Hotel PMS: frequently asked questions
How much does a hotel PMS cost per room?
Published per-room prices sit around €8 to $10 a month, before minimums. WebRezPro charges $10 per unit with a $100 floor; Apaleo charges €8 per room with a €400 floor. Mews quotes per room and Cloudbeds per plan, so ask for the figure at your exact room count.
What is the best PMS for a small hotel?
Under 15 rooms, Sirvoy: public pricing, a free plan for one room and a channel manager on Pro from €41 a month. If you want everything in the first plan, eviivo starts at $50 with the channel manager and booking engine included.
What's the difference between a PMS and a channel manager?
The PMS runs the property (calendar, guests, folios); the channel manager pushes your rates and availability to Booking.com, Expedia or Airbnb. Many PMS include one, not all: at Apaleo it's an add-on from the Store, at Cloudbeds it starts with the One plan.
Is Oracle OPERA worth it for an independent hotel?
Rarely. OPERA Cloud is built for large hotels and chains, with modules and deployment priced on quote. An independent under 100 rooms usually gets a clearer bill with WebRezPro, Cloudbeds or Mews, where the pricing logic is easier to read.
Cloud or on-premise PMS?
Cloud for almost every independent: no server, updates included, access from anywhere. The one real argument for local is a shaky connection. Some vendors now offer hybrid systems that keep check-in and payments running offline, then sync.
Mews or Cloudbeds?
Cloudbeds if OTAs drive most of your bookings and you have fewer than 60 rooms: its channel manager sync is what owners praise most. Mews if you want to automate arrivals with kiosks and digital keys in a bigger hotel. Both are quoted, so compare their card fees side by side.
I run several hotels: which PMS?
One that manages every property from a single account. Cloudbeds includes multi-property on all plans, eviivo has Multi-Property from $125, Mews keeps its Enterprise plan for multi-brand groups, and Apaleo bills €8 per room across the portfolio. Oracle OPERA Cloud and Protel remain the chain references, on quote. Ask for a demo of consolidated reporting across all your hotels.
What about Little Hotelier?
It targets B&Bs, guesthouses and small hotels, and owners praise how easy it is to set up. Some say support has slipped. We couldn't read its official pricing page, so it's not ranked here. If you shortlist it, get the full price in writing and compare it with Sirvoy and eviivo.
Is there a free hotel PMS?
Yes, for one room: Sirvoy's Free plan includes a website, booking engine and automated emails. Beyond that, no serious PMS is free, and no free plan includes a channel manager. Budget at least €41 a month once you list on OTAs.
How long does it take to switch PMS?
Plan for weeks, not days. The import itself is quick; checking it isn't. Run a sample import of about twenty future bookings, fix the mapping, and reconnect OTAs only after the data checks out.
