What is the best client portal software in 2026?
A good client portal kills the email chains. Your client logs in, finds the files, approves, signs and pays in one place.
You attach proposals to emails, chase signatures, dig for the latest version of a deliverable, and a client asks "where are we at?" three times a week. A client portal fixes that: a branded space where each client logs in and sees their files, messages, invoices and anything waiting on their approval.
The short answer. Assembly (formerly Copilot) is the most polished portal for agencies and firms, with a free plan to start. Softr is the pick if you want to build your own portal on top of your data. HoneyBook is the best all-in-one for US, Canadian, UK and Australian service businesses. Plutio is the freelancer favorite that takes no cut of your payments. Dubsado wins on workflow automation. SuiteDash is unbeatable on a flat fee, with unlimited clients and team members from $19 a month, if you can live with the learning curve.
What most "best of" lists skip: many of them are written by vendors that rank themselves first. And the sticker price means nothing until you know how many clients you'll invite. Some tools cap active clients, others bill every seat. We ran the numbers for a solo freelancer with 30 clients and a three-person team with 200.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.

The 6 client portal tools compared
This ranking is for freelancers, agencies, accountants, law firms, consultants and coaches who want a branded space to share files, messages, invoices and approvals with clients. Every ranked tool publishes a price on its official pricing page. Help desk portals like Zendesk or Freshdesk answer a different question (support tickets) and aren't ranked here.

Scores use five weighted criteria, explained in the method. Prices checked in 2026 on each vendor's official pricing page, before tax.

How we compared and rated
This page is for people who do work for clients: freelancers, agencies, bookkeepers, lawyers, consultants, coaches, architects. You want one branded place where each client finds their documents and conversations, instead of ten email threads. It doesn't cover help desk portals where customers open support tickets, or enterprise extranets with thousands of users.
Filter one is price. A vendor with no public pricing goes to the "other tools" section: we don't rank a price we can't see. Filter two is the client cap. Several tools look cheap until you count active clients, so we priced every tool at 30 clients and at 200.
We then scored each tool on the same five criteria we use in our full reviews, so a tool keeps the same score everywhere on the site. Ease of use carries the most weight, because a portal your clients never open is wasted money. Value for money is calculated at your real client count, not the entry price. Features cover what service businesses actually use: files, messaging, invoicing and payments, e-signature, forms, white label and custom domain.
Finally, we read user reviews, starting with the negative ones. The recurring themes: SuiteDash and Dubsado both take real setup time (reviewers mention anywhere from 15 to 40 hours for Dubsado and 20+ hours of SuiteDash training), Plutio's interface feels dated, Assembly gets expensive as your client list grows, and Notion portals leak pages through inherited permissions.

Assembly
Assembly is the new name of Copilot, which itself started as Portal in 2020. The rebrand happened in 2025, and copilot.app now redirects to assembly.com. If a review talks about Copilot, it's the same product, sometimes with stale pricing. Today it's the most polished portal on the client side: your client logs in and sees files, messages, invoices, forms and contracts to sign, in an interface that feels like an app rather than a dashboard.
The free plan is enough to run a real pilot: 1 internal user, 5 active contacts and 3 apps. Starter is $29 a month billed yearly or $49 month to month, for 1 user and 50 contacts. Professional moves to 3 users and 500 contacts, adds your own domain and removes the Assembly badge. Advanced goes to 5 users and unlimited contacts.
The app system is the real strength. You add what you need to the portal (files, payments, contracts, forms, a help center), and each extra app beyond your plan's quota costs $5 a month. Assembly claims GDPR, SOC 2 and HIPAA compliance, which matters if you handle health or financial records.
The catch: on Starter, your client sees the Assembly badge and a URL that isn't yours. Custom domains start at Professional. Reviewers also flag the cost climbing fast and the lack of time tracking or a serious CRM. Assembly is a portal, not a full business management suite.
Tip: an "active contact" is a client you've invited. Archive clients from finished projects to stay under Starter's 50-contact cap instead of upgrading for old files.
- Free plan for 5 contacts
- Add-on apps for the portal
- Claims GDPR, SOC 2 and HIPAA
- ✓Best experience for your clients
- ✓Contracts and e-signature built in
- ✓Free plan to start
- ✗Custom domain only from Professional
- ✗50-contact cap on Starter
- ✗No time tracking or real CRM
The top pick if the impression your portal makes matters. Start free with your five best clients, then price the plan you'll need at 50 contacts.
Softr
Softr doesn't sell you a ready-made portal. It gives you the building blocks to make your own without code. You connect your data (Airtable, Google Sheets, Softr's own database and other sources), drop in blocks (lists, detail pages, forms, tables) and decide what each client sees after login. A law firm can show case status, an agency can show deliverables by project, a training company can show each learner's documents.
The free plan lets you build and publish a first portal. Basic is $49 a month billed yearly and adds your custom domain. Professional ($139) and Business ($269) are for heavier portals with more users and advanced features.
It has the best ease-of-use score in this ranking, 4.7 out of 5 in our full Softr review. The client portal templates give you a working base in minutes, and the AI co-builder drafts a first version from a plain description.
The catch: you build it, so you maintain it. There's no ready-made invoicing, e-signature or client messaging like Assembly or HoneyBook. You wire those in yourself (Stripe, a signature tool, Zapier or Make), and every extra piece is one more thing that can break.
Tip: build the portal for three clients on the free plan with your real data. You'll know quickly whether Basic's user limits work for you before paying.
- Portal built on your own data
- Custom domain from Basic
- Ready-made client portal templates
- ✓Easiest to pick up in this ranking
- ✓Fits any business process
- ✓Free plan to build on
- ✗No built-in invoicing or e-signature
- ✗You maintain the portal yourself
- ✗Higher entry price than flat-fee tools
The right call when no off-the-shelf portal matches how you work. If you only need to share files and invoices, a ready-made portal gets you there faster.
HoneyBook
HoneyBook is the name most American service businesses hear first, and for good reason. It runs the whole client journey: inquiry, proposal, contract, invoice, payment, with a client portal on every plan where clients find all of it in one place.
Pricing is simple: Starter $29, Essentials $49 and Premium $109 a month, billed yearly. Payments are where the real cost hides. Cards run 2.9% + 25¢ per transaction and ACH 1.5%. On large invoices paid by card, the fees can exceed several months of subscription.
The portal itself is clean and client-friendly, and the proposal-to-payment flow is where HoneyBook beats tools that bolt a portal onto a project manager. It's built for one-to-one service work, not for sharing a large document library with a firm's clients.
The catch: HoneyBook is only available in the US, Canada, the UK and Australia. If you work with clients elsewhere, they can pay you, but you can't run your business on it from another country. Payment fees also make it pricier than it looks if most of your revenue comes in by card.
Tip: push clients toward ACH on large invoices. At 1.5% instead of 2.9% + 25¢, the difference covers your subscription. Our page on switching from HoneyBook covers the alternatives if you outgrow it.
- Client portal on every plan
- Proposal to payment in one flow
- ACH at 1.5%
- ✓Smooth client journey from inquiry to payment
- ✓Simple plan structure
- ✓Strong fit for creative services
- ✗Only US, Canada, UK and Australia
- ✗Card fees add up on big invoices
- ✗Not built for document-heavy firms
The best all-in-one if you're based in one of its four countries and bill project by project. Watch the card fees.
Plutio
Plutio bundles project management, proposals, contracts, invoicing and a client portal in one subscription. Your client logs in, checks progress, signs, pays and messages you without switching tools. E-signature is included on every plan.
What sets it apart: Plutio takes no cut of your payments. You connect Stripe, PayPal or Square and only their processing fees apply. Next to a tool that adds its own fee, that adds up over a year of invoices.
Watch the Core cap: $19 a month or $190 a year, but only 9 active clients and one user. Past that, Pro is $49 a month or $490 a year, with 30 contributors and unlimited clients. White label is a $9-a-month add-on on Core and Pro, included in Max ($199).
The catch: the interface looks dated next to Assembly, and reviewers report bugs, no public status page and automations that sometimes need a third-party tool. On the plus side, Plutio's support gets a lot of praise for how fast it answers.
Tip: the 7-day trial is limited to 3 clients. Invite three real clients instead of test accounts and you'll know within a week whether they actually use the portal.
- No platform fee on payments
- E-signature on every plan
- Unlimited clients from Pro
- ✓Whole client lifecycle in one tool
- ✓Low yearly price
- ✓Responsive support in reviews
- ✗Only 9 active clients on Core
- ✗Dated interface
- ✗White label is a paid add-on
Best value for a freelancer past 9 clients: Pro at $490 a year covers everything, portal included.
Dubsado
Dubsado's pitch is automation. You build workflows that send the questionnaire, then the contract, then the invoice, then the reminder, each one triggered by the client's last action. The client portal sits on both plans and gathers everything the client has received.
Pricing is yearly and flat: Starter at $335 and Premier at $525, both with unlimited clients and projects. That makes it one of the cheapest options once you pass a few dozen clients. The 21-day trial is the longest in this ranking and needs no card.
Reviewers are clear about the cost in time. Setup estimates run from 15 to 40 hours, and the learning curve is steep. Automation is the reason people stay, but the portal is described as functional rather than polished. Some users also report the scheduler booking over busy slots.
The catch: Starter allows only 1 active form, which limits the automations you can build before upgrading to Premier.
Tip: map your client journey on paper before you open Dubsado. Users who start building without a plan are the ones who report losing weeks.
- Workflow automation
- Unlimited clients from $335/yr
- 21-day trial, no card
- ✓Cheap at high client counts
- ✓Automates the whole client journey
- ✓Longest trial in this ranking
- ✗15 to 40 hours of setup
- ✗Portal less polished
- ✗1 active form on Starter
The pick if automation matters more than looks. Budget a few weekends for setup.
SuiteDash
SuiteDash makes a bet nobody else in this ranking makes: unlimited clients and unlimited users on every plan. START is $19 a month or $180 a year, THRIVE $49 ($480 a year), PINNACLE $99 ($960 a year). What changes between plans is mostly storage (100 GB, 500 GB, 2 TB) and advanced features.
In one tool you get the client portal, a CRM, projects, contracts with e-signature, invoicing, payments and subscriptions, and the vendor promotes deep white labeling from START. There's also a one-time lifetime license, from $2,240 to $6,840 depending on the tier.
The downside is well known. Reviewers say it's not plug-and-play, mention 20+ hours in the SuiteDash Academy, a busy interface, limited native integrations and a restricted API. Users outside the US also report no multi-currency support and incomplete translations.
The catch: the custom domain. Third-party pages say it's available from START, but the official help center lists it under PINNACLE. Check during the trial before you pick a plan.
Tip: the 14-day trial runs on PINNACLE, the full plan. Write down which features you actually use in those two weeks. Most small businesses only need START or THRIVE.
- Unlimited clients and users
- Lifetime license option
- Portal, CRM, invoicing and e-signature
- ✓Fixed price whatever your client count
- ✓Cheapest at 200 clients with a team
- ✓14-day trial, no card
- ✗Long setup
- ✗Busy interface
- ✗Custom domain plan to confirm
Unbeatable on price once you have many clients or a team. Plan several days of setup before inviting your first client.
What a client portal really costs per year
Some tools bill per seat, some cap active clients, some charge a flat fee. Here's the yearly software cost at official prices, before tax, for two common setups.
Solo, 30 clients
SuiteDash START: $180. Dubsado Starter: $335. Assembly Starter: $348. HoneyBook Starter: $348. Plutio Pro: $490, because Core stops at 9 active clients. Softr Basic: $588. The spread is more than 3x for a similar client experience.
Team of 3, 200 clients
SuiteDash START: still $180, thanks to unlimited users and clients. Plutio Pro: $490. Bonsai Essentials: $684 (3 seats at $228). Hubflo Business: $1,704. Assembly Starter doesn't fit (1 user, 50 contacts): you need Professional. Here the most expensive option costs close to 10x the cheapest.
Hidden costs
Custom domain (Professional on Assembly, Unlimited at $262/mo on Hubflo, a $9/mo white label add-on on Plutio), extra Assembly apps ($5/mo each), payment fees (none added by Plutio, 2.9% + 25¢ per card payment on HoneyBook) and extra SuiteDash storage ($5/mo per 250 GB).
- Is pricing per seat, per active client or flat?
- How many active clients does the plan include, and what happens past that?
- Is a custom domain included in the plan you're looking at?
- Does the vendor's badge stay visible to your clients?
- Does the tool add a fee on top of your payment processor?
- Will the vendor sign a data processing agreement if you have EU clients?
Other tools worth knowing
These come up often in searches. They aren't ranked because their pricing is incomplete, they serve a different buyer, or they aren't real portals. Here's when they're worth a look.
Other tools
Bonsai: cheapest portal for a solo freelancer
BudgetBonsai's Essentials plan ($19 per user per month billed yearly, $25 monthly) includes the client portal, contracts and invoices. The $9 Basic plan doesn't include the portal, a trap many people fall into. Premium ($29) removes Bonsai branding, Elite ($49) needs 3 users minimum. Solo, it's the cheapest full portal. With a team, per-seat pricing makes it pricier than Plutio or SuiteDash.

AgenciesHubflo is a Paris startup founded in 2022, built for agencies. Its strength is guided client onboarding (documents to collect, forms, approvals). Starter is $67/mo (1 user, 50 clients), Business $142 (3 users, 300 clients), Unlimited $262 (4 users, unlimited clients, custom domain), billed yearly. The built-in CRM is basic.

Clinked: pick your data center
Data residencyClinked lets you choose where your data lives (US, EU or elsewhere) as a paid option on Standard and Premium, included on Enterprise. Start Up is $11 per user with 2 GB, Standard $239/mo for 100 members, 1 TB and your own domain. E-signature runs through DocuSign or Adobe Sign. Not ranked: its Premium price is inconsistent on its own pricing page.

Notion: a DIY portal for a handful of clients
DIYPlenty of freelancers share one Notion page per client. It works for 1 to 5 clients. Past that, you duplicate templates for each client, and permissions inherited from parent pages can expose one client's files to another. Notion costs €11.50 per member per month on Plus and €23.50 on Business, and a custom domain through Notion Sites is $8/mo billed yearly. Our Notion review covers the rest.

Moxo: the enterprise portal
Quote onlyMoxo targets banks, wealth managers and large firms: SOC 2 Type II, GDPR, SAML single sign-on, hosting on Moxo's cloud, your cloud or on-premise, and native DocuSign. No public pricing: demo and quote only. For a team under 20, it's rarely worth the procurement process.

Pitfalls
Ignoring the active client cap
PriceAssembly Starter stops at 50 contacts, Hubflo Starter at 50 clients, Plutio Core at 9. Cross the line and your whole account moves up a plan. Count your clients over the last 12 months, not this month.
- Check
- Clients included in the plan
Finding out the custom domain costs extra
BrandingUntil you're on the right plan, clients get a URL like youragency.vendor.com. On Hubflo, the custom domain only comes with Unlimited at $262/mo. If branding matters, price that plan from day one.

- Softr from Basic
Forgetting payment fees
PaymentsA portal that collects payments takes a cut somewhere. HoneyBook charges 2.9% + 25¢ per card payment and 1.5% on ACH. Plutio adds nothing on top of Stripe, PayPal or Square. On a busy year, that line can outweigh the subscription.
- No added fee
- Plutio

Your questions about client portal software
Flat fee or per seat: which is cheaper with 100 clients?
Flat fee, almost always. SuiteDash START costs $180 a year with unlimited clients and users. Per-client caps push Assembly past Starter at 50 contacts, and per-seat tools like Bonsai multiply by team size.
Can Notion work as a client portal?
For up to about 5 clients, yes. Beyond that, one page per client gets heavy, and a permission inherited from a parent page can show one client another client's files. Check sharing on every page before you send the link.
Which client portal has the best white label?
SuiteDash promotes deep white labeling from its START plan, though the official help center lists custom domains under PINNACLE. Assembly removes its badge and adds your domain on Professional. Plutio sells white label as a $9/mo add-on.
Is Copilot now Assembly?
Yes. Copilot, launched in 2021 after starting as Portal, became Assembly in 2025, and copilot.app redirects to assembly.com. Reviews that still say Copilot describe the same product, sometimes with old prices.
HoneyBook or Dubsado for a client portal?
HoneyBook if you want the smoothest client experience and are in the US, Canada, the UK or Australia. Dubsado if automation matters most: $335 a year with unlimited clients, but expect 15 to 40 hours of setup.
Is there a free client portal?
Yes, for a few clients. Assembly is free for 1 user and 5 active contacts, with its badge visible. Softr lets you build and publish a portal for free. After that, SuiteDash at $180 a year is the cheapest paid option.
Which client portal is best for an accounting firm?
Assembly, for its clean client side and claimed SOC 2 and HIPAA compliance, or SuiteDash if you have hundreds of clients and want one flat price. If you need EU data residency for European clients, Clinked offers it as a paid option.
